FULL TERMS & CONDITIONS OF BOOKING

Arrival & Departure Times
Coastfields Holiday Village - Between 4 – 6pm
Merryfield & Sandfield Holiday Park - Between 3 - 5pm
Grange Leisure Park - Holiday Caravans between 3 - 5pm Tourers & Tents between 2 - 5pm
Roach Farm Park Tourers & Tents between 2pm & 4.30pm
Please vacate your accommodation by 10.00 am on your day of departure.
If you expect to arrive after the stated arrival times on the first day of your stay, please let the relevant Park know, you must claim your accommodation by
8.00 am on the day after your holiday was due to start; otherwise we will treat your booking as cancelled (see cancellation conditions).

Group Bookings
To achieve a friendly atmosphere, Coastfields Leisure Ltd will not normally take bookings from all female or all male parties of 4 or more who are predominantly aged between 18-21.
If you have any special requests regarding your holiday accommodation please advise us when making your booking and confirm your request in writing. We will endeavour to meet your requests, however this cannot be guaranteed.

Pets
Dogs are welcomed in selected accommodation, a maximum of 2 dogs per accommodation unit. Where dogs are allowed, they must be under the control of a responsible adult at all times. We reserve the right to require the owner of any dog or other pet to remove it from the Park if we consider it a nuisance or to be interfering with the general comfort of other guests. Please note: Breeds of dogs listed within the dangerous dogs act 1991 (as amended) are not allowed on site.

Children
Children remain the responsibility of their parents or guardians at all times, It is particularly important that you make sure that your children understand that they should always obey the instructions of the Entertainment Staff and Lifeguards, so that the possibility of accidents can be reduced. At Grange Leisure Park and Roach Farm Park, extra supervision and care is needed in the vicinity of the fishing lakes and ornamental ponds.

Licensing Laws
In accordance with UK Licensing Laws, we can only sell alcohol to persons aged 18 or over. We may require you to show proof of age using an approved form of identification. Coastfields Leisure now operates the Challenge 21 policy.
We only accept the following forms of ID: Full & current Passport, A new style & current Driver’s Licence incorporating a photograph.

Infectious or contagious diseases
Should anyone be suspected of having a contagious disease which has the potential to infect a large number of people in a short period of time, they will be asked to leave the parks, or if this is not possible, restrictions will be placed upon them to prevent the virus being transmitted. We are unable to offer refunds in such circumstances and recommend that you take out holiday insurance to cover sickness cover.

Complaints Procedure
If you are dissatisfied with any aspect of your break, please speak to the Park Reception. In most cases they will be able to help you immediately so that you can enjoy the rest of your stay. However, if you are still not satisfied, you must then make an appointment to see a member of Management and record your complaint with them. If, at the end of the break you feel that we have not dealt with your complaint satisfactorily, please write to the General Manager at the Park no later than 28 days after the end of your break. We are only able to take action on any complaints which are first brought to the attention of the Reception team whilst you are on your break and secondly received in writing within 28 days, unless there are exceptional circumstances. It is necessary for our parks to impose these limitations so that we have the opportunity to solve the problems experienced. No action can be taken in respect of any complaint not brought to the attention of a member of park management

Holiday Contract
Our contract is made when you receive our written holiday confirmation. Our contract is subject to these conditions of booking. The personal details provided, including home address and age must be true and correct. We reserve the right to increase prices only where there is an increase in Value Added Tax. Please note that all prices shown are inclusive of VAT. We have the right to decrease the price on unsold holidays at any time.
Only those people listed on the Booking Form/Confirmation can occupy your accommodation and use the facilities of the Park. If this legal requirement is not met, your booking will be terminated and you will be asked to leave, with no refund made.

For the convenience of our guests, we reserve the right to terminate a holiday without compensation, where the unreasonable behaviour of the persons named on the Booking Form or their guests might impair the enjoyment, comfort or health of other guests.
 After you have paid your Deposit you may wish to change some elements of the holiday, eg; type of accommodation. We will try to meet your request, however a charge per alteration to the Holiday will be payable.

We reserve the right to enter accommodation under any special circumstances or emergencies.

It is possible that in some circumstances, accommodation, entertainment or a facility may have to be temporarily withdrawn, due to maintenance, renovation, adverse weather conditions, changes in governmental legislation, or any other factor outside our control. During April, May, September and October entertainment may be reduced and focused in one venue.

We reserve the right to make such alterations in the above circumstances without prior notice, and are unable to accept liability for the loss of any advertised facility, or to pay compensation for any inconvenience caused. if you have any special requests regarding your holiday accommodation please advise us when making your booking and confirm your request in writing. We will endeavour to meet your requests, however this can not be guaranteed.

Payment
When you book you must pay the applicable deposit requested.

Your balance is due and payable by the date printed on your booking confirmation. If the deposit and/or balance is not paid on time, we may cancel your booking. Payments made by credit card are currently subject to a 2% charge. At present, there is no charge for debit cards. After you have paid your deposit you may wish to change some elements of the holiday, e.g type of accommodation. we will try to meet your request, however a charge per alteration to the holiday will be payable.

Cancellations
It may be necessary to cancel your break due to illness, accident or change of circumstances. As soon as you know that you need to cancel, confirm your cancellation in writing. The letter must be signed by the person who signed the Booking Form/Confirmation of Booking Form.
Charges are calculated, from the date that your written instructions of cancellation are received: as follows

LENGTH OF TIME: 7 days or less
CANCELLATION CHARGE: 100%

LENGTH OF TIME: 08-28 days
CANCELLATION CHARGE: 90%

LENGTH OF TIME: 29-42 days
CANCELLATION CHARGE: 50%

LENGTH OF TIME: 43-55 days
CANCELLATION CHARGE: 30%

LENGTH OF TIME: 56 days or more
CANCELLATION CHARGE: DEPOSIT


We endeavour to provide all facilities and entertainment as advertised in our brochure. It may however be necessary to make some alterations in advance of your holiday. If such a change is necessary, we will endeavour to advise you in writing as soon as possible.

Although we will try very hard not to change the date or cancel your booking, in exceptional circumstances this may be necessary. We will inform you of the change of date or cancellation as soon as possible and give you the options listed below.

OPTIONS IF WE MAKE A MAJOR CHANGE OR CANCEL YOUR BOOKING

a) accept the alternative arrangements as notified to you
b) choosing another available break from us at the advertised price
c) cancelling your holiday with a full refund of any money you have paid.


We accept responsibility for those arrangements for your holiday which are within our control, but we cannot accept liability for any injury, loss or damage suffered by you or any member of your party, unless one of the following applies:

(1) there was wilful neglect by us or our employees, or
(2) death or personal injury was caused by the negligence of Coastfield leisure ltd or Merryfield leisure ltd, or our employees.

For all claims other than death or personal injury, which result from the non-performance or improper performance of the contract by Coastfield leisure ltd or Merryfield leisure ltd, compensation will be paid that is reasonable in all circumstances.

All bookings are subject to these Conditions of Booking and to availability.

On selected accommodation a £20 cleanliness cash deposit is payable on arrival. This will be refunded upon leaving your caravan clean and undamaged.
